Introduction
Welcome to RKMS Academy, the training services division of Rosewood Management Services Limited. These Terms and Conditions (“Terms”) govern your access to and participation in our training programs, including online courses, in-person training sessions, and other related services provided by RKMS Academy. By enrolling in any of our courses, you agree to comply with these Terms. If you do not agree, please refrain from enrolling in or using our training services.

RKMS Academy is operated by Rosewood Management Services Limited, a company registered in the UK. Our training services aim to help individuals and businesses improve compliance, safety, and operational efficiency through a variety of programs such as ISO certification training, Lean management, and health and safety courses.

Eligibility and Enrollment
At RKMS Academy, we offer a range of enrollment options tailored to different course types. Upon completing any of these enrollment processes, participants will receive a confirmation email with course details, including dates, times, and access instructions.
Eligibility
Participants must meet the specific age requirements for each course, as outlined in the individual course descriptions. While the general minimum age to enroll in our courses is 18 years old, certain courses may have different age requirements. For example, participants must be at least 14 years old for the First Aid at Work (FAW) course and 16 years old for the Auditing & Inspection course. By registering, you confirm that you meet the specific eligibility criteria for the course in which you are enrolling. Please carefully review each course description for complete eligibility requirements.
If you are under 18 years of age, you must obtain parental or legal guardian consent before enrolling in any course. For further information on how we handle personal data for participants under 18, please refer to our Privacy Policy (which includes a section dedicated to the protection of minors).
Enrollment Process
We offer various types of enrollment depending on the nature of the course. Upon completing the enrollment process, participants will receive a confirmation email with relevant course details, including dates, times, and access instructions. The following outlines the general procedures for each type of enrollment:
Online Courses
Clients can enroll directly on our website. Following payment, an email with course access details will be sent automatically. Where a course requires manual enrollment, you will receive access details via email within a 24 hour period
Open Courses
Clients register and pay online for open courses. During registration, clients provide delegate details, and each delegate receives a digital ticket via email. Additional information, such as venue directions and course guidelines, will be communicated separately.
Client-Specific Courses
For bespoke courses tailored to specific client needs, the enrollment process is as follows:
- Enquiry & Proposal: Following an initial enquiry, we will issue a customised proposal outlining the details of the course.
- Booking Form: Upon acceptance of the proposal, a booking form will be provided to collect essential information, including location, primary contact details, and delegate information (such as names, dates of birth, and contact information).
- Invoicing & Payment: Once the booking form is completed, it will be sent to our accounts team to issue an invoice. Payment must be received no later than 14 working days before the course start date.
(Please note: Employers are encouraged to provide complete and accurate delegate information to ensure smooth processing.)
We reserve the right to adjust the enrollment process as necessary to improve the efficiency and user experience of our services. For any questions or assistance during enrollment, please contact our support team.
Account Creation:
If required for certain courses, participants must create an account on our platform. You are responsible for maintaining the confidentiality of your account details and ensuring they remain accurate.
Parental Consent and Responsibility
Consent: If a participant is under the age of 18, enrollment in any course requires the explicit consent of a parent or legal guardian. It is your/their responsibility to inform us of their age before enrolling in any course. By enrolling a minor, the parent or legal guardian agrees to be bound by these Terms and Conditions and assumes full responsibility for the minor’s participation, including ensuring the course content is suitable for the minor’s age and maturity level.
Additionally, parents or legal guardians may be required to sign consent or waiver forms specific to certain courses, depending on the content and delivery format.
Privacy: We take the privacy of minors seriously. Parents and legal guardians are encouraged to review our Privacy Policy, which includes detailed provisions on how we collect, store, and protect personal data for participants under 18.
Course Fees and Payment Terms
- Course Fees: The fees for each course are specified on the RKMS Academy website or in the course materials. Full payment is required before course access or participation can be granted.
- Payment Methods: We accept We accept payments via BACS (GoCardless) and Debit/Credit Cards (Stripe). By submitting your payment information, you authorise Rosewood Management Services Limited to process payment in accordance with the selected method.
- Refunds and Cancellations:
- Participant Cancellations: If you wish to cancel your enrollment, you must notify us at least 14 working days prior to the course start date to receive a full refund. No refunds will be provided for cancellations made less than 14 working days before the course begins.
- RKMS Academy Cancellations: In the unlikely event that we cancel or reschedule a course, you will be offered the option to attend a future session or receive a full refund.
- Transfers: You may transfer your enrollment to a different course or participant with at least 14 working days’ notice, subject to course availability.
Course Delivery and Participation
- Online Courses:
- Access to online courses is provided via our platform. The duration of access to course materials may vary depending on the course. Some courses may offer lifetime access to materials, while others may have a limited access period (e.g., 60 days). Specific access periods for each course will be clearly stated in the course details.
- RKMS Academy reserves the right to modify course content as needed to maintain the quality and relevance of the material. You are responsible for ensuring that you have the necessary technical setup (e.g., a stable internet connection) to participate in our online courses. Please review the individual course information for specific access periods and requirements.
- In-Person Courses:
- For in-person sessions, participants must attend at the specified location and follow any health and safety protocols in place at the venue. RKMS Academy is not responsible for travel or accommodation costs incurred by participants.
- Attendance is mandatory for receiving course completion certificates where applicable.
- Where blended learning is offered, participants must complete all required online modules in full prior to the first day of the in-person course. Failure to do so may result in being unable to attend the in-person session.
Certificates and Completion Requirements
Certificates of Completion:
All participants who successfully complete a course will receive a digital (PDF) Certificate of Completion. The type of certificate issued depends on the course accreditation, as follows:
Accredited Courses:
- For courses accredited by the Highfield Awarding Body for Compliance (HABC), Chartered Quality Institute (CQI), and the International Register of Certificated Auditors (IRCA), participants will receive a certificate from the relevant accrediting body.
- ROSPA-approved and CPD-accredited courses will be identified in the course description, and participants will receive certificates reflecting this accreditation.
Non-accredited Courses:
- Participants will receive a general Certificate of Completion issued by RKMS Academy.
Participants may request a hard copy of their certificate for an additional fee of £15. To request a hard copy, please email hello@rkmsacademy.co.uk. For certain courses, such as First Aid, participants will automatically receive a hard copy certificate along with a certification card upon successful completion.
Course Requirements: To qualify for a certificate, you must meet all course requirements, including attendance, participation in assessments, and passing any relevant exams or practical evaluations.
Participant Responsibilities
- Compliance: By enrolling in our courses, you agree to comply with all relevant laws, rules, and regulations, including any applicable health and safety guidelines.
- Code of Conduct: We expect all participants to engage respectfully with instructors and fellow learners. Disruptive or inappropriate behavior may result in immediate removal from the course without a refund.
- Technology for Online Courses: You are responsible for ensuring that your technology, including internet access, meets the requirements for participation in online courses. RKMS Academy is not liable for technical issues arising from your equipment or internet connection.
Intellectual Property
All content, materials, and resources provided during our training courses, including course handouts, videos, presentations, and any other instructional material, remain the property of Rosewood Management Services Limited or its licensors. These materials are provided for personal educational purposes only. You may not reproduce, distribute, or modify any course content without prior written permission from RKMS Academy.
Limitation of Liability
To the fullest extent permitted by law, Rosewood Management Services Limited and RKMS Academy will not be liable for any indirect, incidental, or consequential damages arising from your participation in our courses. This includes but is not limited to personal injury, loss of business, or any damages related to the use of our online platforms.
Warranties and Disclaimers
RKMS Academy provides its training services on an “as is” basis without warranties of any kind, either express or implied. We do not guarantee that course participation will result in specific outcomes, including certifications or employment opportunities.
Dispute Resolution
At RKMS Academy, we are committed to providing high-quality training services and addressing any concerns that may arise. In the event of a dispute, we encourage participants to contact us directly to seek a resolution. Our dedicated team will make every effort to resolve disputes amicably and efficiently.
If a dispute cannot be resolved through informal discussions, the following process will apply:
- Negotiation
Both parties agree to attempt in good faith to resolve any dispute through negotiation. We encourage participants to provide full details of the issue and any relevant supporting information to facilitate a fair and prompt resolution. - Mediation
If negotiation does not lead to a satisfactory outcome, either party may propose mediation. Mediation will involve a neutral third party who will work with both sides to reach a mutually agreeable solution. The costs of mediation will be shared equally between the parties unless otherwise agreed. - Legal Proceedings
If mediation is unsuccessful or if either party does not wish to pursue mediation, the dispute may be resolved through legal proceedings. These Terms and Conditions are governed by the laws of the United Kingdom, and any disputes will be subject to the exclusive jurisdiction of the courts of the United Kingdom.
Please note that this Dispute Resolution process does not limit your right to pursue other legal remedies. For complaints, please refer to our separate Complaints Policy, which outlines the steps for formally raising and addressing complaints.
Privacy and Data Protection
We take your privacy seriously. Your personal data will be processed in accordance with our Privacy Policy, which you can find here. By enrolling in a course, you consent to the collection, storage, and processing of your personal data for course administration purposes.
Data Security
RKMS Academy takes reasonable steps to ensure that all data shared by participants during the course enrollment process or while accessing our platforms is protected. However, you acknowledge that no method of data transmission over the internet is entirely secure, and you accept any risks associated with online data sharing.
Amendments to These Terms
We reserve the right to amend or modify these Terms at any time. In the event of significant changes, we will notify you via email or through a notice on our website. Continued use of our services following any such changes constitutes your acceptance of the revised Terms.
Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your participation in our courses will be subject to the exclusive jurisdiction of the courts of the England and Wales.
